A rental business has three things that attract them:

Personal data. Name, address, phone number and email address of hundreds of customers, sometimes with a copy of an ID.

Money flows. Payments and deposits, often through payment requests and links. Exactly the kind of message fraudsters imitate.

Valuable items. Someone posing as a customer with stolen details drives off with your trailer or camera.

On top of that, small businesses often work with one shared password, keep customer data in their inbox and have no time to think about it. That is not a reproach, but it is exactly where things go wrong.

The five risks that really matter

Risk

How it happens

What it costs

Stolen password

The same password for email, web shop and payment account; one leak and everything is open

Access to your customers, your money and your reputation

Phishing

An email saying “your payment failed” or “your account will be blocked” with a fake login page

Your login details, and with them everything above

Fake customer

A booking with stolen details or a forged payment receipt, picked up and never returned

The product and the deposit

Data lying around

Spreadsheets with customer data as attachments, photos of IDs on your phone

A data breach you have to report

Lost device

Laptop or phone without a screen lock, logged in to everything

Everything open on that device

Notice that none of these risks needs advanced hackers. They need a password, a moment of inattention or a file in the wrong place.

What the GDPR asks of a rental business

The General Data Protection Regulation (GDPR) applies to every business that processes personal data, even if you only rent out bouncy castles. In plain language it comes down to six things:

Only what you need. For a rental you need a name, contact details, an address for delivery or invoicing and the payment. Usually not a date of birth or national ID number.

Say what you do. A privacy policy on your site that explains which data you keep, why and for how long.

Store it safely. Not in loose emails and spreadsheets, but in a system only the people who need it can access.

Not longer than necessary. Invoices must be kept for tax for several years; a copy of an ID no longer than the rental period.

Customers have rights. They may ask which data you hold and have it deleted, as far as you are not legally required to keep it.

Data breach? Report it. If you lose data that puts customers at risk, report it to your data protection authority within 72 hours. The European Commission explains the rules and links to each country’s authority.

This is a practical summary, not legal advice. If you are unsure about your own situation, check with your data protection authority or ask an adviser.

ID documents and deposits: doing it right

With expensive items you want to know who you are dealing with. Copying a passport and keeping it in a folder is the riskiest way to do that: it is exactly the document someone else needs to pose as your customer. Safer options:

Look at the document at pick-up and compare the name and photo with the booking. You do not need to keep anything.

Note at most the type of document and the last digits on the order, if you want to be able to show later that you checked.

If you really need a copy, have the customer make a masked copy without the photo and national ID number, and delete it after the return.

Let customers pay the deposit online when they book. A payment through a payment provider is tied to a bank account in their name and often says more than a copy.

Handling payments safely

Never let card or bank details pass through you. A payment provider such as Mollie processes the payment on its own secure page; you only see whether it was paid. That has three advantages:

you keep no payment data, so it cannot leak from you either;

customers pay when they book, so fake bookings with “I will pay at pick-up” drop out;

the payment status is on the order, so a forged receipt by email is pointless.

And avoid sending payment links in loose messages where you can. Customers used to your real links fall less easily for a fake one.

Secure without an IT department

Customer data in one place with Be-Bookable

Separate accounts and roles per employee, payments through Mollie and a privacy policy with consent at booking. Turn on two-step verification for your email, your payment provider and your bank, in that order.

A password manager. One strong master password and a unique, long password for every service that you do not have to remember.

Separate accounts per employee. No shared login. In Be-Bookable you invite team members with their own role: someone who hands out and takes back equipment does not need your revenue or settings. If someone leaves, you only switch off that account.

Sign in with Google. If your Google account uses two-step verification, you can sign in to Be-Bookable with it and get the same protection.

Lock your devices. Screen lock on phone and laptop, and updates switched on. A lost phone is then annoying, not a data breach.

Spotting phishing and fake customers

Urgency is the signal. “Within 24 hours”, “your account will be blocked”, “payment failed”: open the site yourself through your bookmark instead of through the link.

Look at the address, not the name. The sender name is easy to fake; the domain after the @ is not.

A receipt by email or message does not count. Only the payment status in your own system or at your payment provider.

Unusual request, extra check. A new customer who wants an expensive set collected by “a friend”, or wants to pay another way: give them a call.

Want to go further?
