A product that goes out on Friday can only be rented again once it is back, clean and checked. As long as you track that in your head or in a spreadsheet, it goes wrong one day: a double booking, a customer at a closed door or a tent still wet in the trailer. This article shows how to set up rental planning so the calendar guards itself.

In short

Rental planning counts in time, not units: available is whatever is not rented on that date, including the time before and after.

Most double bookings come from forgotten buffer time, separate lists per channel and confirming without checking.

Set buffer time, minimum lead time and opening hours per product; then a customer can only choose what is really possible.

Plan handovers from one weekly overview: what goes out, what comes back and what still needs cleaning.

<details class="toc-m">
Contents

What is rental planning?

Where double bookings come from

Stock per date: the basis

Buffer time and minimum lead time

Opening hours and closed days

Let customers choose only what is possible

Planning handover and return: the weekly routine

FAQ

</details>
What is rental planning?

Rental planning is keeping track of which product is available when, and guarding that availability with every new booking. The difference with a normal web shop is time. A sold product is gone; a rented product comes back and can go out again. Your stock is not “ten party tents”, but “ten party tents, three of which are free on 14 June”.

Good planning answers three questions at any moment:

Is it free? How many units are still available in the requested period?

Is it ready? Is there enough time between two bookings to clean, check and transport?

Can it happen then? Are you open on the pick-up and return day, and do you have enough time to prepare the order?

Where double bookings come from

A double booking is rarely bad luck. Usually it is one of these five causes:

No buffer time. The tent comes back on Monday morning and goes out again on Monday afternoon. Free on paper, still wet in reality.

Separate channels. One booking by phone, one through Instagram and one through your site, each in its own list.

Confirming without checking. Quickly replying “sure” on Saturday evening and only looking at the calendar on Monday.

Stock per product instead of per unit. You have three bouncy castles, but one is being repaired and still shows as available.

Two people, two versions. You and a colleague both work in the same sheet and overwrite each other’s rows.

You solve all five the same way: one system that counts per date, feeds every channel and only accepts a booking when it is really possible.

Stock per date: the basis

Start with your stock. Record per product how many units you have and how many a customer may rent at minimum and maximum per booking. From then on every booking counts down the stock on the days it runs, and counts back up when it returns.

In Be-Bookable you see this per product in an availability calendar per day. A fixed number means certainly available. A range, for example “2-3”, means a unit falls within the buffer time of another booking on that day: it may be there, but you plan for it not to be.

Situation

What the customer sees

All units rented on a day

That day cannot be chosen in the calendar

Two of five still free

The customer can book two at most

Unit returns that morning, one-day buffer

Only available again the day after

Shop closed on the pick-up day

That day cannot be chosen as start or end

Buffer time and minimum lead time

Buffer time is the time you need between two bookings of the same unit. You set it before and after every booking: an hour for a bike you quickly check, a day for a party tent that needs to dry, two days for a bouncy castle you also have to transport.

Buffer before: time to fetch from storage, load and deliver.

Buffer after: time to collect, clean, check and repair.

Minimum lead time: how far ahead a customer must book at least. If you deliver yourself, a lead time of one day stops someone booking a tent at ten in the evening for the next morning.

Start generous and adjust. A buffer that turns out too long costs you a single booking at most. A buffer that is too short costs you a customer.

Opening hours and closed days

A customer can only pick up and return when you are there. So set your opening hours per day of the week and tick the days you are closed. Product groups you hand out at other times, for example boats only at weekends, get their own opening hours.

For holidays you record a closure period. Note: a closed day in the middle of a running rental period does not block that booking. Someone renting from Friday to Tuesday keeps the product on your closed Monday too; only the start and end day have to fall on an open day.

Let customers choose only what is possible

The best planning is one in which a customer cannot make an impossible booking. That means:

A calendar that shows real availability. Days without stock, within buffer time or on a closed day cannot be chosen.

Search by date. If you rent for events, let customers pick their date first. They then only see the products that are free on that day, with the number still available.

Rental periods that fit your product. Per hour for a SUP, per day for a bike, per weekend for a tent. A customer who picks a fixed period does not book gaps into your calendar.

Paying at booking. An online payment makes the reservation final and stops anyone blocking a weekend “provisionally”.

A calendar that guards itself

Never double book again with Be-Bookable

Stock per date, buffer time per product, opening hours and online payments in one web shop. In order management you see all orders as a table, a calendar or a workflow board with columns for reserved, to process, active and completed.

Monday: open the calendar and list this week’s handovers. Pack accessories and bundles in advance.

Every morning: drag orders that are ready to the next status. The customer automatically gets an email for each status.

With every return: check the product, note any damage as an internal note and mark the order completed.

End of the month: see which products were always out and which sat still.
